Introduction

FellowMap ("we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and share information when you use the FellowMap mobile application (the "App").

• You can disable location access in your device settings at any time

• Device Information: Device type, operating system version, unique device identifiers
• Usage Data: App features you use, actions you take within the App
• Log Data: Error logs and performance data for debugging and improving the App

How We Use Your Information

We use the collected information to:

• Show family locations on an interactive map
• Enable search functionality to find families and members
• Allow you to update your family profile

Information Sharing and Disclosure

Within Your Community

• Shared with Members: Your family profile information (name, photo, address, member details, contact information) is visible to all members of your organization who have access to FellowMap
• Administrator Access: Organization administrators have the ability to:
  • View all member profiles within their organization
  • Update member information to correct errors or assist with technical issues
  • Modify organization roles (admin, staff, member, child, visitor)
  • Delete family profiles when necessary
  • All administrative actions are performed to maintain accurate organization records and provide technical support
  • Administrators are expected to use these privileges responsibly and only for legitimate organizational purposes
• Staff Access: Organization staff members can view most member information but have limited editing capabilities compared to administrators

With Third Parties

We do NOT sell, rent, or trade your personal information to third parties. We may share information with:

• Service Providers: Cloud hosting services (for data storage), authentication services, and email delivery services that help us operate the App
• Legal Requirements: When required by law, legal process, or government request
• Safety and Security: To protect the rights, property, or safety of FellowMap, our users, or others

No Marketing or Advertising

• We do not use your information for marketing purposes
• We do not share your data with advertisers
• We do not display third-party advertisements in the App

Data Security

We implement reasonable security measures to protect your information:

• Encryption: Data transmission is encrypted using industry-standard SSL/TLS protocols
• Secure Authentication: Email verification and secure login processes
• Access Controls: Limited access to personal data by authorized personnel only

Access and Update

• You can view and update your family profile information at any time within the App
• Navigate to the Profile tab to manage your information

Location Permissions

• You can enable or disable location access in your device settings
• Disabling location will limit some App features (distance calculations, map positioning)

Account Deletion

• To delete your account and associated data, contact your administrator
• Upon deletion, your personal information will be removed from our systems within 30 days

Data Portability

• You may request a copy of your personal data by contacting your administrator

Children's Privacy

FellowMap is designed for family use and may include information about children as part of family profiles. We do not knowingly collect personal information directly from children under 13. Parents and guardians are responsible for managing family profile information, including information about minors.

Data Retention

We retain your information for as long as:

• Your account is active
• Needed to provide you with the App services
• Required by law or for legitimate business purposes

When you delete your account, we will delete or anonymize your personal information within 30 days, except where we are required to retain it by law.

International Data Transfers

Your information may be transferred to and stored on servers located outside your country of residence. By using FellowMap, you consent to such transfers. We ensure appropriate safeguards are in place to protect your information.

FellowMap is provided to your organization as a tool for community connection. Your organization and its administrators are responsible for:

• Data Accuracy: Maintaining accurate and up-to-date member information
• Privacy Protection: Using administrative privileges only for legitimate purposes such as:
  • Correcting obvious data errors
  • Assisting members who cannot update their own information
  • Responding to member support requests
  • Managing organizational roles appropriately
• Transparency: Being transparent with members about administrative access and modifications
• Confidentiality: Treating all member information as confidential and not sharing it outside authorized purposes

Organization Obligations

• Managing user access and permissions appropriately
• Ensuring administrators use their privileges responsibly
• Handling data access and deletion requests from members
• Notifying members of any significant changes to their information when appropriate
• Complying with applicable privacy laws and regulations

Member Awareness

By using FellowMap, you acknowledge and agree that:

• Organization administrators can view and modify your profile information
• Such access is necessary for effective community management and technical support
• You can contact your administrator if you have concerns about how your data is being managed
• You can request information about any modifications made to your profile
